Privacy Policy
Cascadia Psychodynamic Training Clinic PLLC (“CPTC”) · Effective January 1, 2026
This policy explains how CPTC handles information you share through our website, and how we protect health information when you become a client. Our Notice of Privacy Practices, which describes your rights in full, is available at the clinic and on request.
1. Information you share on this website
Our contact and intake forms ask for your name, contact details, and a brief description of what you are looking for. Please don’t include clinical details, diagnoses, or other sensitive health information in a website form. Use the intake process for that.
We use this information only to respond to your inquiry and to match you with a clinician. We do not sell it, and we do not use it for advertising.
We do not run health-profiling trackers on this site. [Confirm the analytics tool used on the site and list it here.]
2. Text messages
If you opt in on our intake form, we may send you text messages about your intake and appointments. Consent is never a condition of receiving services. Reply STOP at any time to stop receiving texts. Our full terms are at cascadia.clinic/text-messaging.
3. Health information after you become a client
Once you begin services, your clinical record is kept in our electronic health record, Sessions Health, and in our client portal. We use your health information for:
Treatment, including clinical supervision of services provided by our interns
Payment, for billing and collecting fees
Health care operations, including quality review, training, and compliance
We do not disclose your health information to anyone else without your written authorization, except where the law requires it. Those cases include mandatory reports of suspected child or vulnerable-adult abuse or neglect, serious threats to health or safety, and court orders.
4. Churches and community referral sources
We do not disclose any information about you to a referring church, organization, or individual, including whether you are a client, unless you give us specific written authorization.
5. Your rights
You may:
inspect and receive a copy of your records
ask us to correct your records
receive a list of certain disclosures we have made
ask us to restrict certain uses and disclosures
ask us to contact you by alternative means or at a different location
receive a paper copy of our Notice of Privacy Practices
be notified if your unsecured health information is breached

6. How we protect your information
We keep client records locked and access-limited. Our clinicians and interns see only the records of their own clients. We use encrypted devices, unique passwords, and multi-factor authentication where available. We train our team on privacy and security and review access regularly.
7. How long we keep records
We keep clinical records for [six / five — confirm] years, and longer for minors as required by Washington law. We then destroy them securely.
